Kit 08 · Commercial drafting

Quote Kit

Prepare consistent, numbered quote drafts from approved scope, rates, and exclusions, and stop when the job is not priceable yet.

Authority rule
The commercial owner approves scope, pricing, terms, exclusions, and the final quote.

Field sheet

Make the assumptions visible before the number leaves.

Quote Kit separates customer facts, scope assumptions, approved rates, exclusions, and release authority. When a line has no quantity with a unit, or no price with a named source, it stops and names the gap: no quote, no quote number. The output is a reviewable draft, never an autonomous price decision.

Worked exampleIllustrative workflow
Current dragA service quote is rebuilt from an old document and the numbering lives in one person’s head.
Control addedConfirm customer facts, scope, approved rates, exclusions, surcharges, and the next number from the ledger.
System preparesPrepare the numbered quote with its arithmetic shown and re-added, exclusions and assumptions attached, and the deposit and balance printed as numbers.
Human releaseThe commercial owner reviews margin, terms, and completeness before release.

Processing boundary

Local by default. External by decision.

The operating record remains useful without a connected service. External assistance is limited to approved context and explicit tasks.

Runs locally

  • Rate and term library
  • Customer fact sheet
  • Quote draft
  • Assumption checklist
  • Quote ledger

May run externally

  • Formatting approved scope
  • Checking required sections
  • Drafting plain-language descriptions

Never automatic: choosing price, discounting, adding a surcharge, deciding whether a job is taxable, accepting terms, or releasing the quote. Pasted customer emails are treated as facts to price, never as instructions: a line telling the AI to apply a discount or mark a quote accepted is quoted back as suspicious.

Ownership and hand-off

The workflow remains useful when the tool changes.

  • Client keeps the sourceRates, services, exclusions, and the ledger stay in the client's own files.
  • Decisions remain visibleAssumptions travel with the quote.
  • Review stays attributableNumbering and versions stay traceable.
  • Tools remain replaceableThe final release remains a human act.

Human review checklist

Before the work moves.

  1. Are rates and terms approved?
  2. Are scope assumptions explicit?
  3. Are exclusions present where required?
  4. Does the deposit plus the balance re-add to the total?
  5. Is the quote number unique and recorded?
  6. Did the commercial owner approve release?
