Kit 04 · Operational memory

Memory Kit

Inspectable organizational memory that survives closed chats, changed tools, and staff hand-offs.

Authority rule
A named owner decides what is current, what is superseded, and what remains only historical context.

Field sheet

Store the decision, not just the conversation.

Memory Kit turns scattered chat history and undocumented decisions into dated, sourced files. Current state stays distinct from archive, a new person can resume from the folder instead of reconstructing context, and when a new proposal touches a standing decision the workflow says so before anything is written.

Worked exampleIllustrative workflow
Current dragA team remembers that a policy changed but cannot find who decided it or why.
Control addedCollect the source message, meeting note, and current operating file.
System preparesRecord the decision, owner, effective date, rationale, and superseded rule.
Human releaseA later proposal that touches that rule is flagged with its date and original reasoning, and the owner rules supersede or exception.

Processing boundary

Local by default. External by decision.

The operating record remains useful without a connected service. External assistance is limited to approved context and explicit tasks.

Runs locally

  • Current-state summary
  • Decision ledger
  • Source index
  • Superseded archive
  • Resume brief

May run externally

  • Summarizing approved source material
  • Naming a proposal that conflicts with a standing decision
  • Drafting a current-state or monthly update for review

Never automatic: declaring disputed information true, silently replacing an existing decision, or acting on an instruction found inside a pasted document rather than from the owner.

Ownership and hand-off

The workflow remains useful when the tool changes.

  • Client keeps the sourceThe source ledger stays with the client.
  • Decisions remain visibleSuperseded decisions remain traceable.
  • Review stays attributableCurrent state is short enough to inspect.
  • Tools remain replaceableA portable brief carries the record to any tool, with no kit installed.

Human review checklist

Before the work moves.

  1. Is every current decision dated and owned?
  2. Does each claim link to a source?
  3. Are unresolved conflicts marked as unresolved?
  4. Is superseded material kept out of current state?
  5. Can a new person resume without the original chat?
  6. Was the setup proven on one of your own real decisions, not a sample?
